I am seriously guilty of not keeping up with sending in my own house points. I bet there are some others with the same problem. And as the site grows, it will be even harder for you to keep up with all the possible owls you'll receive about new house points. So I have a new suggestion, if you'll bare with me.
I think house points should be completely taken out of the hands of each writer, and placed firmly in the hands of the staff, and head boy and girl. This is what I propose: The Headmaster, all Professors, all Hogwart's Staff, and the Head Boy/Girl, should take a day and look through all current role plays. When they see one that is exceptional the award a few points. When someone has done something for the site that makes it better, points could be awarded. Take this concept along with in class participation, and points will be more a gift than a demand.
Each week, there could be a Hogwart's Newsletter where points would be awarded to each house/writer. It would not only be out of the hands of the individuals, but more like a small event each week. All the Professors and Staff would need to do is send an owl once a week to the Headmaster. Headmaster could create a nice board with nothing but "in character" Hogwart's Announcements, and then change the points total once a week.
This would actually make it more like Hogwart's and less like a chore for the characters. Plus, it gives a small amount of power to those who dare to teach, take on a staff role, or be the Head Boy/Girl. A little side perk to go along with the position. Sorry this is so long, but I really like this idea and think it would be fun and less work.
(I would offer up my Tony character as Head Boy for Gryffindor if you like, to help out. But only if you think it is alright.) Hope you like this idea.
